That’s why we’ve developed a comprehensive 4-step factory vetting process that goes far beyond surface-level promises. Here’s a look behind the scenes.

Step 1: Initial Screening & Documentation Review

Before we ever set foot in a factory, we conduct extensive preliminary research. This initial screening filters out unqualified suppliers and ensures we only invest time in those with real potential.

We start by verifying essential business documentation, including their business license, export license, and relevant quality certifications like ISO 9001. We analyze their company history, production scope, and main export markets. This desk research helps us build a foundational understanding of the supplier and flags any immediate red flags.

Step 2: The On-Site Audit & Capability Assessment

This is the most critical stage of our factory vetting process. A member of our on-the-ground team conducts a comprehensive on-site audit to see the operation with their own eyes. A website can be misleading, but a physical inspection reveals the truth.

During this audit, we assess:

  • Production Lines & Equipment: Is their machinery modern and well-maintained? Can their production capacity realistically handle our clients’ volume requirements?

  • Quality Management System (QMS): We don’t just look for a certificate on the wall. We examine their actual QMS in action. How do they handle incoming raw materials? What are their quality checkpoints during production? How do they manage and learn from defects?

  • Warehouse & Inventory Management: An organized warehouse is often a sign of an organized company. We assess how they manage raw materials and finished goods to ensure product integrity and timely order fulfillment.

Step 3: Social & Ethical Compliance Audit

Partnering with an ethical manufacturer is non-negotiable. A factory with poor labor practices is not only a reputational risk but is often an indicator of poor product quality. Our audit includes a review of their social compliance standards. We look for fair working hours, safe working conditions, and a ban on child or forced labor. A commitment to employee well-being is a strong sign of a stable and responsible long-term partner.

Step 4: Trial Order & Performance Monitoring

After a factory passes our audits, the final test is a small trial order. This allows us to evaluate their real-world performance on a low-risk project. We meticulously monitor their communication, adherence to timelines, and the quality of the final product. Only after a factory has successfully proven its capabilities through this entire factory vetting process do we add them to our network of trusted suppliers.
